Terms & Conditions

It is essential that you read and understand the following terms and conditions prior to booking your trip with Big Wolf Expeditions.

Payment Schedule

Your deposit is due upon confirmation of your reservation.   Final payment must be made to Big Wolf Expeditions no later than 60 days before the scheduled departure date of the trip.  Big Wolf Expeditions reserves the right to consider a reservation cancelled, and the deposit forfeited, if the balance is not received by that date. Payment may be made by check, money order or credit card.

Cancellation by the Client

If you cancel your reservation, you will be charged a cancellation fee which is based on the number of days until the scheduled departure date of the trip.  The following cancellation fees apply:

No refunds will be made if you voluntarily leave a trip for any reason after the trip has begun. The same applies if you leave a trip or cannot fully participate in a trip due to injury or illness. Refunds will be at the discretion of the Big Wolf Expeditions if you are involuntarily forced to leave a trip for any reason.

Cancellation by Big Wolf Expeditions

Big Wolf Adventures reserves the right to cancel any trip that does not attract the minimum group size prior to 60 days before departure. Big Wolf Expeditions also reserves the right to cancel a trip prior to the scheduled departure date due to terrorism, natural disasters, political instability or other external events which make it unfeasible for Big Wolf Expeditions to operate our planned trip. In such cases, Big Wolf Expeditions will refund the trip price only.  Big Wolf Expeditions is not responsible for any incidental expenses that you may have incurred as a result of preparing for your trip such as visas fees, medical expenses, non-refundable flight tickets.

Booking Amendments

If you wish to change your booking in any way, you must contact us as soon as possible and we will accommodate your request to the best of our ability. Surcharges may apply.

No amendments are permitted to your booking within 10 days of departure.

Eligibility and Participation

Trip participants must be at least 18 years of age, unless accompanied by parent or guardian, and in good health. A Release From Liability Agreement form must be signed by each traveler and returned to Big Wolf Expeditions prior to commencement of your trip; on some trips, you will also need to sign a waiver from our partner companies. Your reservation may not be transferred to another person. Participants agree to respect the laws and regulations of the countries in which we travel.

Passports and Visas

You must carry a valid passport and have obtained the appropriate visas when traveling with Big Wolf Expeditions. Please ensure your passport is valid for 6 months beyond the duration of the trip. It is your responsibility to ensure that you are in possession of the correct visas for your travels. Big Wolf Expeditions cannot accept responsibility if you are refused entry to a country because you lack the correct visa documentation.

Travel Insurance

Travel insurance is required to participate in any of our tours.  The policy must include personal accident, medical expense, and emergency evacuation coverage.  When purchasing insurance, ensure that there are no exclusion clauses limiting protection for the type of activities in your trip.  We recommend that you purchase insurance that includes cancellation coverage so that you are covered in certain circumstances if you need to cancel your trip.  A copy of your insurance policy must be provided to Big Wolf Expeditions prior to the departure date of the tour.

If you do not currently have travel insurance, we can provide you with some options.

Baggage

Big Wolf Expeditions assumes no liability for loss or damage to baggage while on one of our trips.  If you wish, you can purchase supplemental baggage insurance from your travel insurance provider.

Responsibilities of Trip Members

Travelers are responsible for selecting a trip that is appropriate to their interests and abilities.  Travelers are responsible for understanding the level of activity required by the trip and ensuring that the level of activity is in alignment with their abilities.  Traveling as a member of a group may require compromise on the part of the participants to accommodate diverse interests and physical abilities.  Any participant may be asked to leave a trip if our tour leader deems that the person's continuing participation may prove detrimental to the individual or to other trip members.

 

Risks

Adventure travel may involve risks above and beyond those encountered on a more conventional trip. Trips involving mountain biking, trekking, canyoning, and kayaking have inherent dangers that can result in illness, injury or death. Additionally, medical services or facilities may not be readily available or accessible during some of the time you are participating on the trip.  Big Wolf Expeditions assumes no liability regarding provision of medical care.

In order to participate in any of our trips, each traveler will be required to sign and return a Release From Liability Agreement form prior to departure.

 

Itinerary Modifications and Cost Increases

Delays or modifications to the itinerary may be required due to local circumstances including acts of God, force majeure, acts of war, civil unrest, insurrection, revolt, strikes, criminal activities, or terrorist activities of any kind.  We reserve the right to make required modifications to any accommodation, tour, transportation or service listed in our itineraries.  In cases where Big Wolf Expeditions needs to substitute any accommodation, tour, transportation or service, we will make reasonable efforts to provide you with comparable alternatives in terms of time, price and quality.  If Big Wolf Expeditions determines that it is advisable to modify the itinerary due to circumstances beyond our control, any additional expenses associated with the amendment to the itinerary will be charged to the traveler.

All prices are subject to change until your deposit is received and reservation is confirmed by Big Wolf Expeditions.

Big Wolf Expeditions reserves the right to increase tour prices after your reservation is confirmed in the unlikely event that there are significant cost increases such as significant currency fluctuations. While we will take reasonable actions to avoid increasing published prices, it is sometimes unavoidable.  In such cases, we will notify you of the cost increase at least 60 days prior to the scheduled departure date of your tour. 

 

Physical Condition and Health

You should be in reasonable shape to participate in any tours provided by Big Wolf Expeditions.  If you have any concerns, you should consult with your doctor to ensure that you have no health-related issues that would limit your participation in the activities planned for your desired trip. All travelers must provide evidence of medical insurance, including emergency evacuation coverage, prior to the scheduled departure date.  Travelers are also responsible for payment of any medical services they may require during the trip.

Big Wolf Expeditions reserves the right to exclude participants from all or part of a trip without refund if our tour leader deems the participant is unable to complete the planned activities without undue risk to themselves or other members of the group.
